Exchange 2010 Migration

Technology Resources is in the process of upgrading campus e-mail servers from Microsoft Exchange 2007 to Exchange 2010. The migration of mailboxes will happen in a phased approach.

Exchange Migration Schedule

Phase One

Check mark August 29, 2012 Routing change from https://synergy.txstate.edu to https://bobcatmail.txstate.edu

Phase Two

Check mark August 29-September 9, 2012 Migrate pilot group mailboxes
Check mark September 9-30, 2012 Migrate student mailboxes
Check mark September 15-22, 2012 Migrate faculty, staff, shared, and resource mailboxes

Exchange Migration Approach

The first step in upgrading from Microsoft Exchange 2007 to Exchange 2010 is changing the routing from https://synergy.txstate.edu to https://bobcatmail.txstate.edu.

Next, a pilot group of user mailboxes will be moved and the results analyzed. This will be followed by a mass migration of student mailboxes. Since the majority of students use BobcatMail or forward their e-mail to their personal accounts, they will be least affected by this migration.

The final groups to be migrated are the faculty, staff, shared, and resource mailboxes. It is important to note that during the final round of migrations, if you have editing privileges to multiple calendars, you may be temporarily working in both 2010 and 2007. This will cause minor disruptions until all mailboxes have been successfully migrated to Exchange 2010.

Outlook Web App

(OWA)

-Your list of recently used addresses (the auto-complete feature) will initially be empty. Reasoning: The list that you had in the older version of BobcatMail had to be left behind. -As you use the new BobcatMail, your list will remember your addresses entered again.
Outlook 2007 and 2010 (Windows) -Outlook login:  Outlook may prompt for a username and password when you try to access it. -If your username and password do not allow you to log in, try entering your username in this format: txstate\yourNetID (e.g. txstate\zzz99)

-If Outlook is open when your account is upgraded, you may receive a prompt to close and restart it. 

-Outlook does not seem to be working correctly.

-Restart Outlook. If that doesn't resolve the issue, restart your computer.  If you're still having problems, ask your department's technical support person or contact the IT Assistance Center (ITAC) for help.

-Contact ITAC for help.

Outlook 2003 (Windows)
-Outlook 2003 is not supported for use with Exchange 2010. -Upgrade to Outlook 2010. If you cannot upgrade, use BobcatMail.
Outlook for Mac 2011

-If Outlook is open when your account is upgraded, you may receive a prompt to close and restart it.

-Until all accounts have been upgraded to Exchange 2010, you may sometimes see an error that you do not have proper permissions when you try to view someone else's calendar.

-Outlook does not seem to be working correctly.

-Restart Outlook. If that doesn't resolve the issue, restart your computer.  If you're still having problems, ask your department's technical support person or contact the IT Assistance Center (ITAC) for help.

-This indicates that the person's account has not been upgraded yet. You can use the Scheduling Assistant to see their free/busy status in the meantime.

 

-Contact ITAC for help.

Mac Entourage 2004 and 2008 -Entourage is not supported for use with Exchange 2010. -Upgrade to Outlook for Mac 2011. If you cannot upgrade, use BobcatMail.
Apple Mail/iCal 4 (Mac OS 10.6) or Mail/iCal 5 (Mac OS 10.7)

-Users may see duplicate e-mails in Apple Mail.

-Apple Mail does not seem to be working correctly.

-Restart Apple Mail. If that doesn't resolve the issue, restart your computer.  If you're still having problems, ask your department's technical support person or contact the IT Assistance Center (ITAC) for help.
Apple Mail/iCal 3 or earlier (Mac OS 10.5 or earlier) -Apple Mail/iCal versions prior to Mac OS 10.5 are not supported for use with Exchange 2010. -Upgrade to Mac OS 10.6 or newer if possible. Switch to Outlook for Mac 2011. If you cannot upgrade, use BobcatMail.
IMAP-based Clients, such as Thunderbird -IMAP does not support all Exchange functionality, including some calendaring functionality. -Use Outlook or BobcatMail.

Smart Phones 

iPhone or Android


-Most Exchange ActiveSync devices should continue to work properly after the upgrade. Some devices may need to be manually reset or delete and recreate the Exchange Active Sync account. 

- Your phone is not connecting and reading your e-mail.

-Try turning your phone off and on.  Remove the battery (if possible) for at least 30 seconds and restart.  Make sure your phone has been updated to the most recent operating system it can run.

-Newer phones will automaticaly switch server addresses. Older phones will need you to manually reconfigure the server address.  Delete and re-add your mail configuration using legacy.txstate.edu (before your mailbox is migrated) or bobcatmail.txstate.edu (after your mailbox has been migrated).

Outlook 2010

Outlook for Mac 2011

-You cannot see your delegates. -Remove and re-add your delegates.

-You see duplicate e-mails or calendar appointments.  Your calendar appointments are re-sending.

-Problems opening shared mailboxes or calendars that exist on a different mail server (e.g., you are on 2010, they are on 2007)

-These are side effects of the migration.  These issues will be resolved after all mailboxes have been migrated.
All Software Clients -All clients require secure authentication. -Non-Outlook/Exchange mail clients may need to be configured to use SSL.
Mailbox Issues -You manage two mailboxes, but only one has been migrated so far. -You cannot manage mailboxes that are in two separate server versions (2007 and 2010). These issues will be resolved once all mailboxes have been migrated to Exchange 2010.
