Desktop Messaging

CallPilot is desktop messaging software that allows you to manage your voicemail within Microsoft Outlook on a Windows computer.  You can also receive and send faxes from your desktop.

If you are using a Macintosh computer, you can access your voice messages from a web browser using MyCallPilot.

Prerequisites

  1. You will need a faculty/staff NetID and password.
  2. You will need to have administrator privileges to the computer.

Installation:

Licensed for on campus Texas State faculty/staff use only

  1. Before installing the CallPilot Desktop Messaging software you will need to close Outlook.
  2.   Download the Call Pilot desktop messaging client  (127 MB)
  3. Run the CallPilot5 installation application.
  4. If you have an older version of CallPilot, you will be prompted to continue with an upgrade.  Click Yes.
  5. At the Welcome dialog, click Next.
  6. At the CallPilot Server Information dialog, the needed information is filled in for you. Click Next.
  7. At the Setup Type dialog window, the default is Complete. Click Next.
  8. Click the Install button to begin the installation.
  9. Click the Finish button when the installation is done.

Configuration:

  1. If you have never used CallPilot before with Outlook on this computer:
    From the Start menu, select All Programs / Nortel / CallPilot Desktop Messaging and select:
    Add CallPilot to Default Mail Profile.
  2. Open Outlook.
  3. You will see a window that will require your mailbox (5xxxx) and voice mail password.
  4. You may see a dialog about "MyCallPilot URL has changed", click Update now.
  5. You will be prompted as to the delivery location of your CallPilot messages:
    You can specify whether your CallPilot messages are delivered to the CallPilot inbox (phone) or to your E-mail Inbox.
  6. You will be prompted to download the CallPilot address book for easy access to other messaging users. 

Outlook will now have a new mail folder titled, "Callpilot Desktop Messaging." There will be an iINBOX in it that will store your voicemails and faxes. You can save your voicemails as a WAV file on your PC and delete them in your mailbox. You can also save your faxes to your PC (it will save them as a TIF file).

CallPilot Fax Capability:

In order to send faxes using CallPilot, you will need to request that fax capability be enabled for your phone number.

Sending a Fax:

To send a fax from your Windows computer, open the document that you want to send. Go to File and click on Print. From the printers list select Nortel Fax and click OK. The next window will have a place to enter the fax phone number where you want to send the fax. Be sure to enter 9+number. You do not need to enter the PIN number if it is a long distance number.

MyCallPilot

Want to check your voicemail while surfing the web?  Macintosh user?  We now have web access to your voicemail box.  To use the web access you need to access the MyCallPilot web site, bookmark the login page, click configure, click OK, confirm connections successful, click OK, confirm update and click OK, one more time.  Close your browser and reopen.  Go to the features tab and download the Callpilot player or Windows media player.  There are some useful numbers and a user guide.
