Department Share Drive

Faculty and Staff can access department shared files from a desktop, laptop, lab computer, or mobile device on- or off-campus via the Department Share Drive. By default, all employees have access to their department's drive. Folders that need to be locked down to smaller groups within the department can be created upon request.

Features of the Department Share Drive:

  • 500 GB default quota for each department
  • Files are automatically protected against data loss due to hardware failure
  • Files are backed up for Disaster Recovery
  • Deleted and recent versions of files can be self-recovered using the Previous Versions feature.

How to Access Your Department Share Drive

Online via Texas State WebFiles

  • Log into Texas State WebFiles with your NetID and password: https://webfiles.txstate.edu
  • Using Texas State WebFiles, access your UDrive or Department Share Drive files from any online connection (on or off campus) using your computer or tablet's browser (e.g., Internet Explorer, Firefox, Safari, Chrome) or your mobile device (e.g., iPhone, iPad, Android, Chromebook).

On Campus (in an office, lab, or other Texas State-owned computer)

  • While connected to the Texas State network (Ethernet, TexasStateWPA, or Virtual Private Network - VPN), log into a Texas State-owned computer with your NetID and password.
     
    • Windows computers: Windows computers that are on the Texas State domain and are connected to the Texas State network will automatically display the UDrive (Go to Computer > Network Location)
       
    • Windows computers: Windows computers that are on the Texas State domain and are connected to the Texas State network will automatically display the Department Share Drive (Go to Computer > Network Location)
       
    • Mac computers: Mac computers that are on the Texas State domain and are connected to the Texas State network will need to manually map to the Department Share Drive to access it.

Each Department is Provided with 500 GB of Storage Space!

Be advised that each department is provided 500 GB of storage space for a collective 81 TB of space for the entire campus. This is why you may see 44.5 TB free of 81.0 TB on your S: Department Share drive.

  

Notes and Policy Information

  • If you do not see the Department Share right now, you will need to log on and off of your computer two times. Then it should be visible.
  • Be sure to zip up database files (such as Microsoft Access, Filemaker Pro, FoxPro, Outlook archives, etc.) before saving them to the S: Department Share.
  • Do not install software or other applications to run directly from the Department Share.
  • The Department Share is intended for work-related files used by your department. It is not intended for storing personal work-related data that is not intended to be shared with colleagues; this should be placed on the your UDrive.
  • The Department Share will automatically map to the S: drive on Windows computers owned by Texas State and joined to the domain. If you were previously using the letter S: and need assistance, please contact ITAC.
  • Previous Versions of files are available for a maximum of four weeks.
  • The Department Share is intended for you to store important files and work on them directly. It is not intended to be a backup destination for all of the computers in a department.
