What is the Computer Replacement Program (CRP)?

1. Basic Computer Configurations and Pricing:  Technology Resources specifies Dell and Apple computer configurations to adequately function on the network environment using software as specified on the Macintosh and Windows supported lists for a minimum life cycle of three years.  Quantity discount pricing has been negotiated and is available for computers purchased through the CRP and through departmental funds.

2. CRP Funding:  Base funding for the CRP has been provided from annual HEAF allocations. Unfortunately, computers for faculty and staff funded from auxiliary, grant, or other designated accounts cannot be paid from the CRP budget, and must be funded from an appropriate grant, auxiliary or other designated fund account.  For all E&G and “method of finance” (certain designated fund accounts determined by the Budget Office) funded faculty and staff positions, standard CRP computers will be provided at no cost to the college or division from the CRP budget. 

3. Eligibility:  Faculty and staff who are full-time employees and paid from eligible accounts as noted in item 2 above are eligible for CRP funded computers.

4. Annual Replacement Program Allocations:  Replacement program computers will be allocated each fiscal year to each College and Division proportional to the numbers used in (3) above to determine the base replacement program HEAF budget. Annual College and Divisional allocations will be divided into two components (HEAF-eligible & Non-HEAF eligible). Orders for HEAF-eligible computers cannot exceed the number allocated.

5. Optional Configuration Enhancements:  Upgrades and optional equipment may be added to the base configurations as approved by the authorized account manager, with the net incremental cost being charged to the college or division account.  Likewise, laptop or Unix workstations may be substituted for the standard Windows / Macintosh computers with the approval of the appropriate account manager, with the net incremental costs being charged to the department.

6. Deployment Schedule:  Each spring, deans and vice presidents will be sent their allocation number of new CRP computers targeted for the coming fiscal year.  They are then asked to identify the faculty / staff who are to receive the new computers.  Technology Resources staff will schedule deployment during the fiscal year between October and May.  Departments may request computers to be delivered prior to September 1 for new faculty only.

7. Deployment Strategy:  Prior to ordering new computers, faculty and staff who have been scheduled to receive new computers will be contacted to obtain information that is critical to a successful installation.  Once this information has been submitted, the new computer will be ordered, and the delivery will be coordinated with the end-user. 

8. Redeployment of existing computers:

a. Technology Resources has established a minimum hardware configuration for computers to be eligible for hardware and software support from the Information Technology (IT) Division.  Computers that do not meet these standards will not be supported by IT.  Departments should take this into consideration when determining deployment of old computers.

b. If an old computer does not meet the minimum hardware configuration for memory, hard drive size, or presence of a CD drive, then the department may choose to have Technology Resources upgrade the old computer to the minimum configuration or better, at departmental expense.

c. If an old computer meets or exceeds the minimum hardware configuration, Technology Resources will "refurbish"  the old computer which includes formatting the hard drive and installing the most current operating system the hardware will support  and some general productivity software including Microsoft® Office and anti-virus software.

9. Software Copyright Compliance: 

a. New CRP computers will be loaded (if requested) with general productivity software as found on the Software Image list.

b. Faculty and staff who request software currently installed on their old computer to be installed on their new computer, must provide the media required to install the software unless the software was acquired through Technology Resources Business Services.  Additionally they will be required to sign a form to certify that the software is (1) is required for them to complete their assigned work responsibilities and (2) has been legally purchased and licensed for their use.  Deployment staff  are not permitted to install any software unless the end-user is willing to certify that they meet these requirements.

 (Note:  Not all older software will run under the newer operating systems.) 

c. Faculty and staff may also wish to have new software installed.  Users should check the  Windows and Macintosh software lists for acquisition methods.

Forms

Forms will be sent to each departmental Contact person specified by the VP/Dean/Director/Department Chair.  Forms should be completed by departments and routed through Vice President or College offices where quantities are confirmed.   Read the instructions and forms carefully to avoid delays.  Complete the forms, obtain all required signatures, and deliver/mail the form(s) to Technology Resources Business Services, JCK 783.
