Setting Up Outlook 2003 for Exchange

In order to set up Outlook with Exchange, you must be using a computer connected directly to the Texas State campus network. This includes all machines located on campus, in the Round Rock extension campus and those users who connect using the Texas State dial-up modem service. Texas State users connected to the Internet using other ISPs will be able to access their email using the web-based BobcatMail

Verify that Microsoft Office 2003 is installed

Open Microsoft Word to verify what version of Office is installed. Once in Word, select the Word menu and select About Microsoft Office Word. The version number should be at least Word 2003 (11.xxxx.xxxx) SP1. it is recommended that you consider upgrading to Office 2007.

Verify that the Latest Service Release is Installed

Be certain that you have Office 2003 installed and updated with the latest Service packs and updates before you proceed with the configuration of Outlook.

One way to apply the latest Service Pack is to open Microsoft Word and select the Help menu and Check for Updates. The updates to Microsoft Office are also available by using a web browser to download from:

http://office.microsoft.com/productupdates/

Exchange E-mail Configuration

From the Start menu, select Control Panel, User Accounts and then Mail.
(In Classic view, open Mail in the Control Panel window.)

In the Mail Setup dialog box, click on the Show Profiles... button:

 

On the next window, click the Add... button.

Enter Exchange as the new profile name, and click the OK button:

In the Email Accounts window, select the option Add a new e-mail account and click the Next button:

Select the first option Microsoft Exchange Server and click the Next button:
 

In the Microsoft Exchange Server text field, type in bobcatmail1.
In the User Name field, type in your NetID ex. WB99:

 

Click the Check Name button and you may be prompted to enter your user name and password if your computer is not in the TXSTATE domain. If prompted, enter your NetID and password using the format (txstate/NetID) as shown in the following example and then click the OK button.

 

The full Exchange server name (ex. BOBCATMAIL1.matrix.txstate.edu) should now appear in the "Microsoft Exchange Server:" text box and your full name (last, first) should  be displayed in the "User Name:" text box. Click the Next button:

 

Click the Finish button to complete the setup process. You will be returned to the Mail control panel window.

In the Mail window, select Always use this profile. From the drop down list, select Exchange and then click the OK button:

Run Outlook

Run Outlook by selecting the Start menu and then selecting the E-Mail (Microsoft Office Outlook) icon or you can select Start, All Programs, Microsoft Office and then Microsoft Office Outlook 2003.

Enter your NetID and Password using the format (txstate-NetID) shown in the following example and then click the OK button:

 

You are now ready to use Outlook to access the Exchange server to read and send email and to access and update your personal calendar. In addition, your personal address book in Outlook will be synced and stored on the Exchange server.
